Our team of more than 30 highly trained therapists, educated at leading institutions, provides specialized treatment for anxiety, ADHD, depression, trauma, relationship concerns, family dynamics, psychological assessments, and career and life transitions. We are seeking an exceptional Intake Specialist – Booking & Patient Experience to become the first point of contact for prospective patients. This is a high-impact, fast-paced position for someone who is warm, intuitive, organized, and able to quickly build rapport while exercising excellent judgment. You will conduct initial consultations, understand each prospective patient’s needs, and thoughtfully match them with the therapist best suited to help them. This position requires candidates to remain live on Zoom throughout their scheduled shift with the clinical, administrative, and booking teams. You must be fully engaged in real-time patient coordination, communicate effectively with leadership, and ensure every prospective patient receives an exceptional concierge-level experience. As part of the application process, all candidates must submit a 5–10 minute audio recording demonstrating a mock patient consultation. Applications without the required audio assessment will not be considered. Schedule • Part-Time: Approximately 25 hours per week • Monday–Friday • 2:30 p.m. – 6:00 p.m. Eastern Time • 1099 Independent Contractor Position • Potential for full-time W-2 employment based on performance, business needs, and mutual fit. Responsibilities • Serve as the first point of contact for prospective patients. • Conduct approximately 15-minute consultation calls. • Identify each patient’s concerns, goals, and preferences. • Match patients with the therapist best suited to their needs. • Develop and maintain expert knowledge of every therapist’s specialties, treatment approaches, and populations served. • Coordinate patient bookings and scheduling. • Monitor therapist availability and caseload capacity. • Collaborate with the clinical and administrative teams throughout the day via Zoom. • Deliver an exceptional, concierge-level patient experience with professionalism, discretion, and efficiency. Qualifications • Bachelor’s or Master’s degree in a mental health field is required, including Psychology, Social Work (BSW/MSW), Mental Health Counseling, Clinical Mental Health Counseling, Marriage and Family Therapy, Counseling, or another closely related behavioral health discipline. • Licensure is not required, but formal education in a mental health field is required. • Minimum 3–5 years of experience in clinical intake, admissions, patient coordination, behavioral health, care coordination, booking, or a comparable client-facing role. • Outstanding communication, listening, and interpersonal skills. • Strong critical thinking and clinical judgment. • Highly organized with exceptional attention to detail. • Able to thrive in a fast-paced, high-touch environment while maintaining professionalism and discretion.
