About the position
Responsibilities
• Strategic management of the CIO's calendar to help manage the CIO's time in an effective way.
• Strategic planning for recurring meetings, trips, and attendance to internal and external events across multiple time zones.
• Prioritize calendar items and scheduling according to the needs of the Office of Investments.
• Plan and execute complex, detailed domestic and international travel itineraries including all transportation, hotel accommodations, obtaining all necessary visas and travel documents and processing expense reports.
• Work in close cooperation with the Chief Operating Officer and Operations team.
• Coordinate team meeting and special events logistics.
• Facilitate logistics to support smooth onboarding/offboarding of new OOI team members.
• Process CIO and general team expenses including reviewing and approving expenses.
• Prepare CIO timesheets and, where applicable, approve timesheets of the team.
• Act independently within broad program goals to prioritize tasks in the absence of specific instructions and exercise independent judgment to identify and solve problems.
• Take the initiative to identify and undertake opportunities that add value to the efficient operation of the Office of Investments.
• Partner with senior team members, including the Chief Investment Officer, on ad hoc projects.
• Ensure compliance with Conservancy policies and procedures, and external (donor/legal/IRS) requirements; decisions may bind the organization financially or legally.
• Maintain confidentiality of frequently sensitive and emotionally-charged information.
• Participate in budget preparation.
• Manage projects with several variables, set realistic deadlines, manage a timeline, and ensure accountability.
• May participate in complex negotiations.
• May supervise administrative, professional and/or volunteer staff, including training and professional development.
• Provide input through project teams for the development and implementation of new initiatives or the improvement of existing programs.
• Travel and work flexible hours, as needed.
Requirements
• Bachelor's degree and/or 8 years related experience or equivalent combination.
• Strong organizational skills, accuracy, attention to detail and ability to manage multiple tasks.
• Ability to work quickly and efficiently.
• Ability to implement complex processes.
• Ability to use existing technology to achieve desired results.
• Experience generating reports and analyzing and interpreting data.
• Demonstrated experience using diplomacy and tact to build strong relationships and motivate staff.
• Experience coordinating projects.
• Successful experience implementing strategic program goals.
