Job Overview
In this challenging and rewarding role, you will work closely with senior-level business executives, IT management and personnel, business program resources, and vendor staff to analyze, plan, and implement the clinical/laboratory components required for the Epic EHR system. Your expertise in project management, particularly in managing the day-to-day activities of the assigned project portion, will be crucial in defining and executing requirements, managing stakeholder expectations, and ensuring the project's scope, schedule, and quality are maintained.
Key Responsibilities
- Maintaining the scope, schedule, and quality of the project for the Beaker Clinical EHR build team, ensuring all aspects are well-coordinated and executed according to plan.
- Setting clear expectations for team members, including defining roles and responsibilities at each phase of the project to ensure a cohesive and productive team environment.
- Working closely with the EHR Program Director and other project managers/team managers to coordinate activities, share knowledge, and leverage collective expertise for project success.
- Ensuring that the business community is engaged in the project through effective communication and stakeholder management, fostering a collaborative approach to project implementation.
- Advising and coaching team members by providing guidance on project issues, key success factors, and lessons learned, promoting a culture of continuous learning and improvement.
- Sharing with team members the positive effects of innovation and system capabilities, motivating the team, and showing appreciation for their contributions to project success.
- Reinforcing the importance of the project together with the EHR program executives and the Program Director, and providing consistent communication to the project team to maintain alignment and focus.
- Organizing resources within the organization, appropriately matching team member skills to team responsibilities, and managing the project from an organizational perspective while attending to detailed tasks.
- Assisting as a support contact for revenue cycle, identifying and troubleshooting issues, guiding workflow design, building and testing the system, and analyzing other technical issues associated with Epic software.
- Serving as a liaison between organizational needs and Epic implementation staff, maintaining regular communication with Epic representatives, and participating in weekly project team meetings.
- Working with Epic representatives, the business community, and end users to ensure the system meets the organization's business needs regarding project deliverables and timeline.
- Developing an understanding of operational needs to set the direction for the organization's workflows, participating in training, and working with end users to ensure a smooth transition to the new system.
- Reporting and reviewing the status of projects and issues on an ongoing basis with leadership, holding weekly communications with team members to discuss the status of deliverables, shared issues, end-user concerns, budget, and upcoming milestones.
- Developing and maintaining all required client and client PMO project documentation in coordination with other EHR PMO PM resources, ensuring compliance with project management standards and methodologies.
Essential and Preferred Qualifications
To be successful in this role, you will need to possess a strong background in project management, specifically in healthcare information technology (HIT) projects with an emphasis on clinical information systems and healthcare application interoperability. The ideal candidate will have:
- Beaker Experience: A minimum of 7 years of experience working with Beaker, demonstrating a deep understanding of its capabilities and limitations.
- Experience with Health Information Technology (HIT) projects: At least 7 years of experience in managing HIT projects, with a focus on clinical information systems and healthcare application interoperability, showcasing your ability to navigate complex healthcare technology environments.
- Project Management Methodology: Familiarity with developing and maintaining project plans according to State and client IT project management methodology, with a preference for experience with Microsoft Project.
- PMI Standards: Highly proficient knowledge of PMI standards for project management, with experience in both Waterfall and Agile methodologies, demonstrating your flexibility and adaptability in managing projects.
