About the role
We are seeking a hands-on Real Estate Controller to own monthly close quality across a portfolio of 5 multi-tenant industrial properties held in multiple LLCs, plus a family account of 20 single-family rentals. We also provide property and asset management for properties on behalf of multiple owners and Limited Partners, so trust/security deposit accounting, owner liability, and investor reporting accuracy are critical. This role will oversee an internal bookkeeper and ensure the financial statements are accurate, consistent, and tax and investor-ready.

Core Responsibilities
Own the monthly close (timeline + checklist) and deliver financials by the 10th–15th business day.
Reconcile every balance sheet account monthly, including:
bank/credit cards,
tenant A/R,
prepaid/accrual schedules,
loans/interest allocations,
intercompany / due-to-due-from between LLCs,
security deposits / trust / escrow + owner liabilities.
Review and supervise internal bookkeeper:
approve coding rules,
reduce uncategorized items,
enforce receipt/W-9 documentation,
train the bookkeeper on real estate transaction logic.
Journal entries & accounting policy:
post and document accruals, prepaids, loan entries,
define and enforce repair vs capex policy,
ensure consistent class/property/entity tracking.
Chart of accounts governance:
maintain COA structure (property-level reporting),
prevent duplicate/messy accounts,
enforce “no prior-period edits without approval.”
Reporting & analysis:
produce monthly close package (BS, P&L, cash summary, JE log, key schedules),
deliver property and entity rollups,
produce owner/investor-ready reporting and answer basic finance questions.
Tax coordination (not filing):
provide clean books and schedules to CPA/EA,
support depreciation/fixed asset register and year-end tie-outs,
support 1099 workflow (W-9 collection, vendor mapping, reporting file).
Bonus if you have experience in tax preparation or tax filing, especially if experienced with the workflow between QBOA and Intuit ProConnect.
Tools / systems
QuickBooks Online, QuickBooks Online Accountant
Excel/Google Sheets, Nickel for accounts payable and receivables, bank feeds
Experience integrating with property management systems is a plus
Must-have
3+ years accounting experience with real estate / property management
Proven track record owning monthly close + reconciliations
Experience with multi-entity (LLCs) and property-level reporting
Experience with trust/security deposit accounting, partnership accounting, and owner liability schedules
Comfortable supervising a bookkeeper and creating SOPs
Nice-to-have (not required)
CPA, CMA, or similar
Public accounting or CAS background
Experience with multi-state filings (tax pro still handles this)
