We are a U.S.-based healthcare company (Personal Care Agency) looking for a detail-oriented Bookkeeping & Payroll Support Virtual Assistant to help manage our financial records.
This role is NOT billing, scheduling, or Medicaid claims. Billing is handled by a separate VA. This role focuses strictly on accounting support and bookkeeping.
This is a long-term position with potential to increase hours as the company grows.
Key Responsibilities
Categorize weekly transactions in QuickBooks Online
Attach receipts and invoices
Reconcile bank and credit card accounts monthly
Log and track accounts payable (vendor bills)
Prepare weekly AP summaries (no payments)
Support payroll by:
Reviewing approved hours
Verifying payroll totals
Confirming payroll entries in QuickBooks
Prepare basic monthly reports:
Profit & Loss
Cash balance summary
Payroll expense summary
Flag errors, missing receipts, or unusual activity
What You Will NOT Do
Run payroll
Make bank transfers or payments
Submit Medicaid claims
Handle EVV or scheduling
Modify chart of accounts
Communicate with government agencies
Required Skills
QuickBooks Online experience (required)
Basic understanding of payroll concepts
Strong attention to detail
Experience with U.S. businesses (preferred)
Reliable internet & communication
Ability to follow SOPs closely
Healthcare or home care experience is a plus, but not required.
