Responsibilities
- Provide day-to-day administrative support
- Managing calendars
- Scheduling meetings
- Organizing digital files
- Preparing documents and presentations
- Handling correspondence
- Answering calls and emails with professional phone etiquette
- Supporting executive staff with clerical and organizational tasks
- Help coordinate remote events and meetings
- Maintain accurate records and databases
- Ensure smooth administrative workflows across teams
Skills
- Strong Administrative Assistance and Clerical Skills, including calendar management, document preparation, and digital file organization
- Professional Phone Etiquette and Communication skills, with the ability to interact clearly and respectfully with internal and external stakeholders
- Experience in Executive Administrative Assistance, supporting leaders with scheduling, meeting coordination, and confidential information handling
- Proficiency with office software and collaboration tools (e.g., word processing, spreadsheets, videoconferencing platforms, email and scheduling systems)
- Excellent organizational skills, attention to detail, and ability to manage multiple tasks and deadlines in a remote setting
- Strong written and spoken English
- Relevant post-secondary education or training in administration, office management, or a related field
- Additional language skills, especially Swedish
- Previous experience in a university, research, or international environment
