We are seeking a highly organized and detail-oriented Remote Administrative Specialist to provide crucial support and ensure the smooth operation of our organization. Responsibilities:
- Manage incoming phone calls, directing them appropriately.
- Schedule and coordinate appointments and meetings.
- Draft, edit, and distribute emails, correspondence, memos, letters, and forms.
- Assist in the preparation of regularly scheduled reports.
- Maintain organized filing systems (physical and digital).
- Update and maintain office policies and procedures.
- Order office supplies and research new vendors to improve efficiency and cost-effectiveness.
- Maintain and update contact lists.
- Book travel arrangements.
- Submit and reconcile expense reports.
Qualifications:
- Proven experience as an Administrative Assistant or Office Administrator.
- Solid understanding of office management systems and procedures.
- Proficiency in Microsoft Office Suite, with strong skills in Excel and PowerPoint.
- Excellent time management and prioritization skills.
- Exceptional attention to detail and problem-solving abilities.
- Excellent written and verbal communication skills.
- Strong organizational skills with the ability to multi-task effectively.
- High School diploma; Associate's degree or equivalent experience in Administrative Assistance or Secretarial studies preferred.
