Saxe Doernberger & Vita, P.C. is a nationally recognized law firm dedicated to representing policyholders in insurance coverage disputes. They are seeking an experienced Legal Assistant to provide administrative and operational support to attorneys in a busy multi-jurisdictional practice.
Responsibilities
- Provide administrative and secretarial support to assigned attorneys and, as needed, paralegals
- Format, proofread, and finalize correspondence, pleadings, and other legal documents
- Maintain attorney calendars in Outlook, including scheduling meetings and tracking deadlines
- Organize and coordinate travel arrangements for attorneys
- Prepare expense reimbursements and mileage submissions
- Maintain and update client and matter files, both electronically and in hard copy
- Accurately enter, review, and revise time entries as needed
- Assist with conflict check submissions and matter opening processes
- Review vendor invoices for accuracy and coordinate submission for payment
- Provide responsive and professional support via phone and email
- Assist with basic e‑filing in state and federal courts as needed
- Support general matter coordination to ensure tasks and deadlines are tracked and completed
Skills
- Minimum of 3+ years of experience as a Legal Assistant in a law firm environment required
- Strong experience providing administrative and document support to attorneys
- Proficiency in Microsoft Office (Word, Outlook, Excel, PowerPoint)
- Strong organizational skills and attention to detail
- Ability to manage multiple priorities and meet deadlines in a fast‑paced environment
- Strong written and verbal communication skills
- Reliable, responsive, and able to work independently on day‑to‑day tasks
- Ability to remain in a seated position for extended periods of time
- Frequent use of a computer, keyboard, and other standard office equipment
- Occasional standing, walking, bending, and reaching to retrieve or file documents
- Occasional lifting and carrying of files or office materials (generally up to 15 pounds)
- Experience with document management systems (e.g., NetDocuments or similar) preferred
- Familiarity with legal or business systems (e.g., CARET or similar) preferred
- Basic familiarity with e‑filing systems (e.g., PACER, state platforms) preferred
