Birth Control Pharmacist is a nationally recognized, mission-driven organization dedicated to expanding access to contraception through pharmacist-prescribed birth control. They are seeking an experienced Operations Director to build the systems, structure, and operational excellence that will support their next phase of impact.
Responsibilities
- Develop, document, and continuously improve organizational systems, workflows, and standard operating procedures (SOPs)
- Build operational infrastructure that supports organizational growth and long-term scalability
- Identify operational bottlenecks and proactively implement process improvements
- Establish organizational policies, documentation standards, and operational best practices
- Lead cross-functional project management across organizational initiatives
- Monitor priorities, timelines, deliverables, and organizational goals to ensure consistent execution and accountability
- Lead recruitment, hiring, onboarding, and offboarding processes
- Develop and maintain job descriptions and hiring workflows
- Screen applicants and coordinate interviews with hiring managers
- Manage hiring documentation, including I-9 verification and E-Verify compliance
- Maintain employee handbook, HR policies, and employment documentation in partnership with HR consultants
- Coordinate payroll, employee benefits, and compliance training
- Lead annual performance review processes, goal setting, compensation planning, and bonus administration
- Support workforce planning, leadership development, and organizational accountability
- Foster a collaborative, high-performing remote culture grounded in communication, ownership, and continuous improvement
- Review financial statements and organizational performance metrics
- Monitor organizational budgets and financial performance
- Develop operational dashboards and reporting systems for leadership
- Support annual budgeting and financial forecasting
- Partner with external accounting professionals to ensure sound financial operations
- Oversee contractor payments, vendor invoices, expense reimbursements, and purchasing processes
- Manage software subscriptions, operational technology, and vendor relationships to maximize organizational efficiency
- Partner closely with the CEO to translate strategic initiatives into operational plans
- Develop measurable goals, milestones, and accountability systems
- Track key organizational performance indicators (KPIs)
- Provide regular operational and financial reporting to executive leadership
- Monitor organizational priorities and proactively address risks or barriers to execution
- Lead continuous improvement initiatives across all operational functions
- Oversee business registrations, insurance programs, contracts, and organizational filings
- Serve as the primary liaison with legal counsel and external consultants
- Coordinate contractor agreements and organizational documentation
- Maintain compliance with employment laws, grant requirements, and applicable regulatory standards
- Ensure organizational records remain accurate, secure, and up to date
Skills
- Must legally reside in the US and all work must be completed in the US (due to federal funding requirements). Specifically, must legally reside in CA, IA, IL, IN, MA, MD, MO, or NY
- Birth Control Pharmacist participates in the E-Verify program
- Bachelor's degree in Business Administration, Operations Management, Human Resources, Finance, Healthcare Administration, or a related field, or equivalent professional experience
- 5+ years of progressive leadership experience in operations, business administration, project management, healthcare administration, or organizational leadership
- Demonstrated success building systems and operational infrastructure within a growing organization
- Experience leading or supporting multiple operational functions including finance, HR, compliance, project management, and business operations
- Experience managing budgets and interpreting financial reports
- Exceptional organizational, project management, and communication skills
- Ability to independently prioritize competing initiatives in a fully remote work environment
- Strong judgment, discretion, and professionalism when handling confidential information
- Continuous improvement mindset with outstanding analytical and problem-solving abilities
- Experience partnering directly with founders, CEOs, or executive leadership teams
- Experience in healthcare, public health, nonprofit, education, or mission-driven organizations
- Experience supporting grant-funded organizations or federally funded programs
- Experience leading distributed or fully remote teams
- Experience implementing operational software, workflow systems, and CRMs (Monday.com, etc.)
- Experience managing contracts, vendor relationships, insurance, and corporate administration
